Welcome to BookingBee.ai. These Terms of Service (“Terms”) govern your use of the BookingBee.ai platform and related services (the “Service”) provided by BookingBee.ai (“BookingBee,” “we,” “us,” or “our”). By accessing or using the Service, you agree to be bound by these Terms and our Privacy Policy. If you do not agree to these Terms, please do not use the Service.
1. Description of Service
BookingBee.ai provides an AI-powered voice receptionist service designed specifically for salons, spas, medspas, and barbershops. The Service handles incoming phone calls 24/7 (including after-hours and busy periods) to assist with:
- Appointment booking (scheduling new appointments in real time)
- Rescheduling and cancellations of existing appointments
- Client inquiries such as pricing, hours of operation, available services, and stylist availability
- General call handling, including answering frequently asked questions and transferring to a human staff member if needed
BookingBee.ai’s voice assistant integrates with the salon’s existing booking and scheduling system (such as Phorest, Mindbody, Booker, Square, or similar software). This ensures that appointments booked or modified by the AI are synchronized in real time with the salon’s calendar. Our Service is dedicated exclusively to beauty and wellness businesses. We do not handle bookings for meeting rooms, corporate events, or unrelated services.
2. Accounts and Eligibility
- Business Customers: To use BookingBee.ai, a salon or spa must create an admin account (e.g., a business or owner account) and integrate our Service with their existing booking software. You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account. Notify us immediately of any unauthorized use.
- End Clients: Clients (callers) of the salon do not need to create an account with BookingBee.ai. Callers interact with the Service by phone. We may ask callers for minimal information (such as name and phone number) during a call to assist with bookings.
All users of the Service must comply with applicable laws and regulations. By using the Service, you represent that you have the authority to bind the business to these Terms.
3. Subscriptions and Payments
BookingBee.ai is provided on a subscription or usage-fee basis as outlined in our separate pricing terms. By subscribing, you agree to pay all fees for the Service according to the billing schedule specified in your account or agreement. All fees are non-refundable unless otherwise stated. We reserve the right to change our pricing or fees, but we will provide advance notice (typically 30 days) before any material change. You agree to keep a valid payment method on file and to pay all charges for your account.
Important: BookingBee.ai does not process payments for salon services, deposits, or fees on behalf of the salon. All payment transactions (such as deposits or credit card charges for appointments) remain the responsibility of the salon’s existing point-of-sale (POS) or booking system. BookingBee.ai simply facilitates the booking process and passes information to the salon’s systems via secure integrations.
4. Third-Party Integrations
Our Service relies on integration with third-party salon management and scheduling software (e.g., Phorest, Mindbody, Salon Iris, Booker, Square, etc.) as well as telephony providers. You are responsible for providing and maintaining any accounts, licenses, or equipment necessary for these third-party services. BookingBee.ai is not liable for the performance, availability, or security of any third-party system. Any issues, outages, or errors caused by external software or platforms are outside our control. We do not endorse any third-party services and their use is at your own risk.
5. Data Collection and Privacy
a. Data We Collect: BookingBee.ai collects and processes only the minimal personal data necessary to provide the Service. This may include:
- Caller information: name, phone number, and any details provided during the call (e.g., requested service, preferred date/time).
- Booking details: appointment date, time, stylist, and service type.
- Call logs: audio recordings or transcripts of calls for training, quality assurance, and performance monitoring.
b. Use of Data: Collected data is used to perform bookings, handle client inquiries, and improve our AI service. Conversation logs may be reviewed by authorized personnel to train our AI models and to improve call handling.
c. Data Security: We implement industry-standard security measures to protect your data. This includes encryption of data in transit (e.g., using HTTPS/TLS for API calls) and secure storage of data at rest. Our integrations with booking systems use secure APIs and tokens. We follow data minimization principles, retaining personal information only as long as needed for the Service and as required by law.
d. Privacy Policy: Our Privacy Policy (available on our website) describes in detail how we collect, use, and share information. By using BookingBee.ai, you also agree to our Privacy Policy.
e. Regulatory Compliance: Our Service does not handle protected health information (medical or patient data). We are not subject to HIPAA compliance requirements since callers to salons are not providing medical or sensitive health data through our platform.
6. Acceptable Use
You agree to use the Service only for lawful purposes and in accordance with these Terms. Prohibited uses include, but are not limited to:
- Using the Service to send unwanted spam calls or text messages to clients.
- Recording calls or messages without the consent required by law. (Note: BookingBee.ai may record calls for quality improvement, and salons should inform their callers as required.)
- Attempting to reverse engineer or disrupt our AI technology or telephony systems.
- Violating the intellectual property or privacy rights of others.
- Engaging in any fraudulent or malicious activity.
BookingBee.ai reserves the right to suspend or terminate accounts that are found to be in violation of these acceptable use terms.
7. Call Recording and AI Interaction
The BookingBee.ai receptionist is an AI-powered system. You and your callers understand that when BookingBee.ai answers calls, you will interact with an AI voice agent. Calls may be recorded or transcribed for the purposes of improving the Service and ensuring quality. By using the Service, you consent to the recording and analysis of call content by BookingBee.ai for these purposes.
If your callers request to speak to a human representative, the AI will facilitate a call transfer to your designated staff or voicemail as configured in your account. BookingBee.ai itself does not provide live human operators, but we enable call transfer to your staff.
8. Intellectual Property
All content and intellectual property on the BookingBee.ai platform (including text, logos, graphics, software code, and AI technology) are owned by BookingBee.ai or our licensors and are protected by copyright, trademark, and other intellectual property laws. We grant you a limited, non-exclusive license to use our Service in accordance with these Terms. You may not copy, modify, distribute, or create derivative works of our software, nor attempt to extract or reverse-engineer any component of the Service. Any feedback or suggestions you provide regarding the Service may be used by BookingBee.ai without restriction.
9. Disclaimers and Warranty
The Service is provided on an “as-is” and “as-available” basis. BookingBee.ai makes no warranties, express or implied, regarding the Service. We do not guarantee that the Service will be error-free, uninterrupted, or completely secure. We are not responsible for any errors in call handling, missed bookings due to technical issues, or any failure of third-party integrations. Your use of the Service is at your own risk. We disclaim all implied warranties, including merchantability, fitness for a particular purpose, and non-infringement.
10. Limitation of Liability
To the maximum extent permitted by law, BookingBee.ai and its officers, directors, employees, agents and affiliates are not liable for any indirect, incidental, special, consequential, or exemplary damages (including lost profits, revenue, or data) arising from or related to your use of the Service, even if we have been advised of the possibility of such damages. In no event shall BookingBee.ai’s total liability to you for any claim exceed the amount of fees you paid to BookingBee.ai during the twelve (12) months preceding the event giving rise to liability. Some jurisdictions do not allow limitations of liability; in such cases our liability is limited to the extent permitted by law.
11. Cancellations and Refunds
Service Cancellation: You may cancel your BookingBee.ai subscription at any time by contacting us or through your account interface. Cancellations will take effect at the end of your current billing cycle. We do not typically provide refunds for partial billing periods.
Appointment Cancellations: BookingBee.ai simply facilitates appointment bookings on behalf of your business. Cancellations or rescheduling of appointments by clients are subject to your salon’s own policies. BookingBee.ai is not responsible for enforcing or adjudicating any cancellation or refund disputes between you and your clients.
12. Termination
BookingBee.ai may suspend or terminate your account and access to the Service at any time if you breach these Terms or for any other reason (e.g., if we discontinue the Service). Upon termination, your license to use the Service ends and you should cease all use of it. Termination of the Service does not relieve you of any payment obligations accrued prior to termination.
13. Changes to Terms
We may revise these Terms of Service at any time. When changes are made, we will update the date at the top of the Terms. Material changes will be communicated via email or notice in the BookingBee.ai dashboard before they take effect. Your continued use of the Service after any changes constitute your acceptance of the new Terms.
14. Governing Law
These Terms are governed by the laws of the State of Delaware, USA (or another specified jurisdiction), without regard to conflict of law provisions. You agree to submit to the jurisdiction of the courts located in Delaware for any disputes arising out of or relating to these Terms and the Service.
